// AI assistants

Save time on what is not your trade

Quotes, reminders, emails, invoices to file: a good share of an entrepreneur's week goes into tasks that are not their trade. A well-configured AI assistant prepares them; you review, you sign. Here is how to go about it, with nothing to install to get started.

// delegate

Six chores to hand over to AI

Write

Quotes, reminders, reports

You dictate three sentences, the AI writes the clean version.

Reply

Customer reviews and emails

A polite draft in seconds, which you review and sign.

Sell

Product sheets, posts

A base to touch up rather than a blank page on Sunday evening.

Translate

Menu, catalogue, website

Into English or Spanish, without an agency for every change.

File

Invoices and attachments

Read, renamed, sorted, ready for the accountant.

Prepare

Meetings and files

Summarise a thirty-page document, list the questions to ask.

AI for the tedious tasks, your time for your trade. You review, you sign.

// three levels

From chat to assistant

The same tiling quote, asked for three times: that is what separates a conversation from a real assistant.

  1. Level 1

    The chat

    You ask a question, it answers. Tomorrow, you start from scratch and explain everything again.

    “Prepare a quote for 12 m² of tiling”: the answer comes fast, but with made-up prices and a layout that is not yours.

  2. Level 2start here

    The assistant

    It knows your business: your prices, your tone, your documents, given once and for all. Nothing to install, a few minutes to upload your documents.

    The same sentence produces a quote at your prices, in your format, with [TO COMPLETE] wherever information is missing. You review, you send.

  3. Level 3

    Automation

    It works while you work: every incoming request is read, filed, prepared. You approve.

    The quote request arrives by email, the draft is ready when you open it. This takes a little setting up.

Which tool? The one you will actually open: for these uses, ChatGPT, Mistral's Le Chat, Claude or Gemini are on a par. The free versions are enough to get started.

// safeguards

It writes fast, and it is wrong with confidence

Nothing confidential

No customer, banking or health data in a free version. Turn off the use of your conversations for training.

Every fact gets checked

Prices, dates, laws: what the AI states is checked before it reaches a customer.

Your documents stay with you

The tool is only a passage: the original and the final version live in your own folders.

// on Monday

Where to start

  1. 01

    Write down three chores

    The three tasks of your week that weigh on you most, and that are not your trade.

  2. 02

    One chore, one tool

    One at a time, fifteen minutes a day, with an assistant you have given your documents to.

  3. 03

    Measure

    If nothing changes in two weeks, stop: that task will gain nothing in six months.

// going further

When to get help

The first two levels can be done on your own. Automation takes a little setting up, and as soon as there is customer data, a payment, several users or a tool that must last, what matters does not show on day one: backups, updates, access rights. That is where a provider is useful.
